How to split a group hotel booking fairly

Group bookings often use a single contracted rate across multiple rooms, sometimes billed through a master account: one invoice for the charges the group agrees to pay together. Individual travelers usually settle their own incidentals at checkout. The practical job is telling each person or room what they owe before the trip.

The fairest split depends on room type. If everyone has the same room at the same rate, divide the master bill by rooms (for a per-room split) or by total travelers (for a per-person split). If rooms vary in size or rate, split proportionally. This calculator handles the equal-split case; for mixed-room groups, use the per-room output as a starting point.

Don't leave tax out of your estimate. At an example combined rate of 16%, 8 rooms at $189 for 3 nights have $4,536 in room charges and $725.76 in tax, which is more than the $567 room cost of one room for the whole stay. This calculator applies tax to room charges only, so add any tax on resort fees or catering to Other Master Bill Items. Use the Hotel Tax Calculator to look up rates for your destination city.

Group hotel contract terms to understand

  • Attrition clause — sets how much of the block you must pay for if the group doesn't fill it. Percentages vary, so check how yours is calculated and try to agree it before signing.
  • Incidental deposits — each room may get a card hold at check-in. It is usually not a charge, but travelers need available credit. Confirm the amount per room with the hotel in advance.
  • Resort fees — ask whether they apply per room per night and whether your quote includes them. On a 20-room group they can add a large amount to the total.
  • Complimentary rooms — some group contracts include free rooms based on the number of paid rooms. Terms vary, so ask what the hotel offers.
  • Cut-off date — the deadline for guests to book within the block. After it, unreserved rooms can return to general inventory, and the group rate may no longer be guaranteed.

Frequently asked questions

How do you split a group hotel bill fairly?

For equal rooms at the same rate, divide the master bill total (room charges, taxes and shared costs) by rooms for a per-room split, or by travelers for a per-person split. This calculator shows both, plus the incidental hold per room. For mixed room types, split in proportion to each room's cost.

What is a hotel master bill?

A master bill, or master account, is one invoice for charges the group agrees to pay together, such as room charges, taxes, resort fees and pre-arranged catering or A/V. What goes on it is set by your agreement with the hotel. Personal charges such as room service are usually settled by each guest.

What is a hotel incidental deposit?

It is a temporary card authorization taken at check-in to cover charges such as room service or parking. It is usually not a charge, but it reduces available credit, and a bank can take several days to release it after checkout. Amounts vary by hotel, so ask before you travel.

What is an attrition clause in a group contract?

An attrition clause sets how much of the room block you must pay for if the group does not fill it. For example, an 80% clause on a 20-room block means you pay for at least 16 rooms. Read how the contract calculates it, and try to agree the percentage before you sign.

How many rooms do you need for a hotel group rate?

There is no universal rule. Many hotels treat around 10 or more rooms on the same dates as a group, but thresholds vary, so ask the hotel or brand. Group terms can include a negotiated rate, a room block contract, master billing and complimentary rooms.
