Overview of Processing

hotels.tools provides free hotel revenue and operations calculators. We do not require an account to use the tools. This policy explains how personal data is processed under the GDPR when you use the site.

  • Log data (IP address, device, browser, timestamp, referrer), handled by our host, Cloudflare.
  • Analytics data via Google Analytics.
  • Advertising data (cookies, device identifiers, IP address) processed by Google AdSense to show and measure ads.
  • Data you choose to send us by email.
  • Calculator inputs are processed locally in your browser. They are not sent to us and are not stored.

You are not required by law or contract to provide personal data, and you can use every calculator without telling us anything about yourself. Your browser does send technical data such as your IP address when it loads a page, because a website cannot be delivered without it.

Legal Bases (Art. 6 GDPR)

  • Art. 6(1)(f) GDPR: delivering, securing and improving the site, including server logs (legitimate interests).
  • Art. 6(1)(a) GDPR with § 25(1) TDDDG: analytics and advertising cookies, Google Analytics, and personalised ads via Google AdSense, where you give consent in Google's consent message.
  • Art. 6(1)(f) GDPR: data that reaches Google before or without consent, as described under Cookies below (legitimate interests in measuring use of the site and funding it through ads).
  • Art. 6(1)(b) or (f) GDPR: responding to your inquiries.
  • Art. 6(1)(c) GDPR: keeping records that tax and commercial law require us to keep.

Server Logs and Hosting

The site is hosted by Cloudflare, Inc., 101 Townsend St., San Francisco, CA 94107, USA. When you access the site, Cloudflare processes log data on our behalf to deliver the website and protect against abuse. This data is used for technical security and is not combined with other data.

Cookies and Consent

  • hotels.tools sets no cookies of its own and stores nothing in your browser. The cookies described here come from Google's services.
  • Visitors in the EEA, the UK and Switzerland are asked for consent through Google's consent message (a Google-certified consent management platform under the IAB Transparency and Consent Framework). When the message loads, before you choose, Google sets one cookie, FCCDCF, which lasts about 13 months. It keeps your choice so that the message does not return on every page. It is needed to run the message, so it does not require consent (§ 25(2) no. 2 TDDDG).
  • Google's scripts load on every page before you choose, because one of them delivers the consent message. For every visitor, the site tells them that analytics and advertising storage are denied unless consent is given (Google Consent Mode).
  • Until you consent, or if you decline, Google Analytics sets and reads no cookies. It still sends Google cookieless pings with details such as the page address, time, referrer, browser and your consent status. Like any web request, these pings carry your IP address. Google uses them to estimate visits it cannot measure directly. Google states that Analytics does not log or store IP addresses from the EU, the UK or Switzerland and uses them only to derive a rough location.
  • If you do not consent to storing or accessing information on your device, Google does not show personalised or non-personalised ads. It may show limited ads instead. These are not personalised, but Google still uses data such as your IP address to deliver them. Depending on our AdSense settings, it may also use cookies and local storage that serve only to detect fraud and invalid traffic.
  • If you consent to device storage but not to personalisation, Google may show non-personalised ads, which use cookies for frequency capping, aggregated reporting, and fraud prevention.
  • In other regions Google shows no consent message, so analytics and advertising storage stay denied and we do not enable personalised ads. You can also use the opt-out links in the Google Analytics and Advertising sections below.
  • "Cookie settings" in the site footer re-opens Google's message in the EEA, the UK and Switzerland, so you can change or withdraw your choice at any time. Elsewhere it brings you to the Advertising section below.

Google Analytics

We use Google Analytics, a service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland, to understand how the site is used. Google acts as our processor for this service. Analytics cookies are used only with your consent, which you can withdraw at any time. The Analytics tag itself always loads and sends the cookieless pings described above. You can stop it with Google's browser add-on.

Advertising (Google AdSense)

We use Google AdSense, a service of Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland, to show ads. Its script runs on every page, whether or not an ad appears there. Google acts as an independent controller for AdSense and decides how it uses this data under its own privacy policy.

  • Third-party vendors, including Google, use cookies to serve ads based on your prior visits to this website or other websites.
  • Google's use of advertising cookies enables it and its partners to serve ads to you based on your visits to this site and/or other sites on the Internet.
  • You can opt out of personalised advertising in Google's Ads Settings (My Ad Center if you are signed in), and opt out of some third-party vendors' use of cookies at aboutads.info or, in the EU, youronlinechoices.eu.
  • Other vendors and ad networks may serve ads through AdSense. In the EEA, the UK and Switzerland they are listed under "Manage options" in the consent message. You can opt out on their websites, where offered, or at aboutads.info.

If you email us, we use your address and message to reply.

Recipients and Transfers

  • Cloudflare (hosting): our processor, under its data processing addendum.
  • Google (Analytics): our processor, under Google's data processing terms.
  • Google (AdSense): an independent controller, under Google's controller terms. Google and the vendors it works with receive advertising data directly from your browser.
  • Our email provider, for messages you send us, and authorities where the law requires it.

We do not sell personal data for money. Where personalised ads run, Google and its partners use identifiers and visit data for advertising, and we may earn ad revenue. Some laws, such as those of certain US states, may count that as selling or sharing personal data. We do not otherwise pass personal data to anyone in exchange for money or other benefits.

Cloudflare and Google may process data in the United States and other countries outside the EU. For the United States we rely on the European Commission's adequacy decision for the EU-U.S. Data Privacy Framework (Art. 45 GDPR). Cloudflare, Inc. and Google LLC state that they are certified, which you can check on the participant list. Where a transfer is not covered by the Framework, these providers rely on the Commission's standard contractual clauses (Art. 46(2)(c) GDPR). You can ask us for a copy.

Retention

  • Server logs: Cloudflare keeps log data for as long as it needs it for delivery, security and legal requirements. Its privacy policy gives no fixed period, and we cannot set one.
  • Google Analytics: user-level and event data is deleted after 14 months at most, the longest period available on a standard property. Aggregated reports are not affected by this limit.
  • Cookies, where you consent: the Analytics cookie _ga lasts up to 2 years. Google's advertising cookies last 13 months in the EEA, the UK and Switzerland. Google's cookie overview has the details. You can delete cookies in your browser at any time.
  • AdSense: as an independent controller, Google decides how long it keeps this data.
  • Emails: until your request is dealt with and no further contact is expected. Where tax or commercial law requires us to keep them (§ 147 AO, § 257 HGB), business letters are kept for 6 years and accounting records such as invoices for 8 years, counted from the end of the calendar year in which they were created.

Automated Decisions

We do not make automated decisions, including profiling, that have a legal or similarly significant effect on you (Art. 22 GDPR). Google uses automated systems to select ads.

Your Rights

  • Access, rectification, erasure, restriction, and data portability (Art. 15 to 18 and 20 GDPR).
  • Object at any time, on grounds relating to your situation, to processing based on legitimate interests (Art. 21(1) GDPR).
  • Object at any time, without giving reasons, to the use of your data for direct marketing (Art. 21(2) GDPR).
  • Withdraw consent at any time without affecting prior processing (Art. 7(3) GDPR).

Supervisory Authority

You have the right to lodge a complaint with your data protection authority. For Berlin, this is the Berlin Commissioner for Data Protection and Freedom of Information.
